Refund Policy

What you can get refunded, how, and when. We keep this short on purpose.

1. Summary (the short version)

  • 14-day money-back guarantee for your first paid subscription term. Email support@chartofaccounts.ai within 14 days of your first charge and we’ll refund 100% — no forms, no “reasons.”
  • Cancel any time. Cancellation stops the next renewal; the current paid term continues to its end.
  • Prepaid annual terms are refundable on a pro-rated basis when we materially reduce functionality of a feature you paid for. Otherwise, prepaid annual terms are non-refundable.
  • Wallet top-up credit packs are non-refundable once purchased, except where required by law or where they have not been used at all within 30 days of purchase (one-time courtesy refund per customer).
  • Credits expire after 24 consecutive months of account inactivity (see Section 4).
  • Chargebacks. Please email us first — we resolve nearly all billing issues within 1 business day.

2. 14-day money-back guarantee

If you are dissatisfied with your first paid subscription term for any reason, email support@chartofaccounts.ai within 14 days of the initial charge with the subject line “Refund request.” We will issue a full refund to the original payment method within 5–10 business days, and your account will be downgraded to the free tier.

The 14-day guarantee applies once per customer and only to your first paid subscription term (it does not apply to renewals, plan upgrades, or wallet top-up purchases).

3. Cancellation, renewals, and pro-rated refunds

You may cancel your subscription at any time from the in-app Billing page or by emailing support. Cancellation takes effect at the end of the current paid term, after which you will not be charged again.

Monthly subscriptions are not pro-rated when canceled mid-term — your plan continues to its end. Annual subscriptions are not pro-rated when canceled mid-term, except in the cases described below.

You may request a pro-rated refund of any unused prepaid term if:

  • we materially reduce the functionality of a feature your plan paid for; or
  • we materially and adversely change these Terms or the Privacy Policy and you cancel before the change takes effect; or
  • required by applicable law.

4. Credits & credit expiration

Subscription plans include a monthly allotment of credits. Unused monthly credits do not roll over to the next month.

Wallet top-up credits (one-time credit packs) do not expire while your account is active. If your account is inactive (no sign-in, analysis, or optimization) for 24 consecutive months, remaining wallet credits are forfeited and the account may be closed after at least 30 days’ advance email notice during which you may sign in to extend, export your data, or request a refund of the unused, non-expired wallet credits purchased within the prior 12 months.

Credits have no cash value, are not transferable between accounts, and may not be exchanged for cash except as required by law.

5. Wallet top-up purchases

Wallet top-up credit packs are one-time purchases. Because credits are typically consumed immediately and AI/inference costs are incurred on our side as soon as you run a workflow, top-up purchases are non-refundable once any of the purchased credits has been used.

As a one-time courtesy, we will refund a wallet top-up purchase in full if (a) no credits from that purchase have been consumed and (b) you request the refund within 30 days. Email support@chartofaccounts.ai.

6. Failed or partial workflows

If a paid AI workflow fails due to a defect in the Service (server error, timeout, output that cannot be produced because of a system fault), we automatically refund the credits charged for that workflow back to your wallet — usually within seconds. The refund appears as a “Refund” line in your billing activity.

In the rare case where automatic refund fails (for example, a transient database error after the workflow failed), email support@chartofaccounts.ai with the workflow timestamp and we will refund manually, typically within 1 business day.

We do not refund credits consumed by workflows that completed successfully but produced output you disagreed with. AI outputs are proposals that require professional review; see Section 3 of the Terms of Service.

7. Chargebacks and disputes

Please contact us before initiating a chargeback. We resolve nearly all billing issues within 1 business day. Filing a chargeback for an authorized charge instead of contacting us may result in suspension of your account during the dispute period.

8. Sales tax

Refunds include any sales tax or similar tax that was charged. We do not refund payment-processor fees that we cannot recover from Stripe.

9. How long refunds take

Approved refunds are issued to the original payment method within 5–10 business days. The exact timing depends on your card issuer or bank.
